The tour you are booking with ‘Travelling the Fairways’ is a customized tour to suit your group and, as such, our procedures and deposit policies vary from other tour operators. The following information will be required to confirm all aspects of your golfing package.
- Full name and contact email or mailing address of each member of the group. (Including sex, as some clubs in the British Isles restricts days and times ladies may play).
- We may ask if you are a member of registered golf club and will require proof of handicap. Several golf clubs in Scotland still require proof of handicap so we advise you travel with your GHIN handicap card if you are from the USA. Modern day apps are useable as well, but the key is to make sure you are able to provide proof of handicap.
- Accurate numbers of who will play each day within the group, as once tee times are arranged and deposits paid, fees may be involved to change or cancel the original reservation.
To secure the reservation and place the tour into operation you must forward approximately 35% of the total cost per person. Deposit amounts will vary depending on the services you have requested. Once your deposit is received your tour will be placed into operation. Deposits are used to secure golf, transport and accommodations and are therefore non-refundable. Final payment of the balance due on the tour must be received by ‘Travelling the Fairways’ no less than 90 days before the scheduled tour commences. Until then, the total price of the tour is not fully guaranteed. Payment can be made by the following credit cards – Visa or MasterCard, personal or company cheque and also bank wire.
BOOKING CONFIRMATION AND DEPOSIT
The lead person who makes the booking does so on behalf of all party members and is responsible for all payments made to Travelling the Fairways Ltd. When a tour has been finalised and accepted by the lead person, Travelling the Fairways require an approximate deposit of 35% of the total group cost. If the booking is made within 90 days of the date of arrival, Travelling the Fairways require full pre-payment to be made at the time of booking. The lead person responsible for the group’s payment can either forward one credit card to cover the group’s deposits or forward individual credit cards for each member of the group. It will be the responsibility of the lead person making the arrangements on behalf of his group to make sure a copy of Travelling the Fairways terms and conditions are forwarded to each individual travelling within the group.
Notification of cancellation must be forwarded to ‘Travelling the Fairways’ in writing or by email as soon as possible. The following is a schedule of charges incurred by the client if for any reason the tour is cancelled, 90 and + days prior to the commencement of the tour, loss of deposit. 89 – 0 days prior to the commencement of the tour, total tour cost non-refundable. Please note; group members can be replaced up to one week prior to travel at no cost, but if no replacement is found then our terms and conditions of payments will apply. If ‘Travelling the Fairways’ has any reason to cancel the tour, a full refund will be made including deposit
TRAVEL INSURANCE – IMPORTANT INFORMATION
Travelling the Fairways strongly recommends Travel Insurance. On booking your golfing vacation, please ask for details of our preferred partner insurance company that we will be happy to recommend to you. Please remember it is your responsibility to have adequate travel insurance in place should you need to cancel the trip for any reason. Travel insurance must be taken out within three weeks of paying for the deposit on your trip). ‘Travelling the Fairways’ is not liable for loss, damage or theft of luggage, golf clubs or personal belongings, or for personal injury, accident or illness that may prevent travelling. Therefore, please ensure you have adequate insurance before travelling.
CAR RENTAL, COACH HIRE & CHAUFFEUR DRIVE
All itineraries include transport from the point of arrival until departure date unless specified by the client. Drivers for self-drive vehicles must have a full driver’s license and be over 25 years of age for Scotland, England and Ireland. Car/Mini Bus rental rates do not include gasoline/petrol or personal accident insurance but do include Collision Damage Waiver. On delivery of your hired vehicle you will be asked to leave a credit card deposit to cover a full tank of fuel and in some cases a deposit may be required to cover any damage to the vehicle before use. With Coach Hire and Chauffeur Drive, all motoring and drivers expenses are included in the price of the tour. With any coach hire and chauffeured vehicles Travelling the Fairways are not liable to theft of golf clubs or personal property, so we recommend your store your golf clubs with hotel porters or take them to your rooms.
It is the policy of ‘Travelling the Fairways’ to use hotels that have a 3, 4 or 5 star rating. All quotations are based on rooms with private bath/shower at the hotels requested. Should any hotel not be available after your quotation, an alternative of similar standard will be offered. Superior and De-luxe rooms are available for a supplementary charge in most hotels.
UNUSED TOUR SERVICES
Tour services included in the tour packages, which are not used, are non-refundable. No refund will be made for unused hotel accommodations, tee times or any other service due to flight delays or unscheduled changes or for any other reason.
Tour documents will be sent to you approximately 3 weeks prior to your departure date with all relevant documentation therein. Note: for US and Canadian citizens, a current passport is required for travel to the British Isles and Ireland.
HANDICAP CARD OR CERTIFICATE
‘Travelling the Fairways’ stipulates that all clients must carry with them a current handicap or GHIN card or certificate and a general letter of introduction from their home club. Modern day apps are also allowable. Failure to do so may result in access being denied at many British and Irish Golf Clubs.
The use of caddies is strongly recommended by ‘Travelling the Fairways’. Please advise us on booking if they are required. Caddy fees are to be paid by the client directly to the caddy or caddymaster on the day of play and are not the responsibility of ‘Travelling the Fairways’. Please note that caddies are not directly employed by the respective golf clubs and it is the caddie’s responsibility to arrive at the allotted time and as such no responsibility is accepted by ‘Travelling the Fairways’.
MEET AND GREET
Each tour will be met by a representative of ‘Travelling the Fairways’ or your Chauffeur Drive/Guide. You will be given a tour briefing at the airport or first night hotel. While travelling you will also have the back up facilities of our St Andrews and Dublin based offices for any help or advice you may require.
‘Travelling the Fairways’ further referred to as ‘the company’ and/or it’s agents, act only as agents in making arrangements for hotels, tee times, sightseeing tours and transportation or any other service in connection with the itineraries of individual tour members who by acceptance thereof, acknowledge that the company and or it’s agents and suppliers shall not be liable for injury, damage, loss, accident, delay or irregularity, liability or expense to personal injury due to act or default of any hotel, golf club, carrier or any other company or person providing or rendering of services included in the tours.
Further, the company and or its agents accept no responsibility for any sickness, pilferage, labour disputes, machinery breakdown, government restraints, weather conditions, defaults in any vehicle of transportation or any misadventure or casualty or any other causes beyond their control. The company reserves the right to cancel, change or substitute any service, and to decline to accept or retain tour members at any time for any reason including insufficient numbers of participants.
The client, by engaging the company and making deposit and/or full payment for the package arrangement specified, acknowledges the position of the company as stipulated by the foregoing and agrees to hold the company blameless in making arrangements on his/her behalf, provided same should be made through generally accepted suppliers at the time of engagement, and further agrees that the restitution of damages, if any are claimed, shall be sought directly from the suppliers. The client also agrees to the terms and conditions of the tour and services set forth by the suppliers. Rates are subject to change without notice. Payment of deposit or full payment shall constitute consent of all provisions stated herein. Due to the nature of British and Irish weather, it is not possible to return green fee payments from golf clubs if courses are affected by adverse weather conditions. If however any refunds are to be made, this will be at the discretion of the golf club.
